Closing or deleting your account
You can close or delete your account from "Account settings > Data and privacy". The two are different:
- Close. Sign-in disabled; data retained for the legal retention period. Reversible if you change your mind within 30 days.
- Delete. Personal data deleted from active systems; anonymised records kept only for tax and audit requirements.
How to close
- Sign in.
- Go to "Account settings > Data and privacy".
- Click "Close account".
- Confirm.
Effective immediately:
- Sign-in is disabled.
- Future marketing emails stop.
- Transactional emails for in-flight orders still send (you still need them).
- The account can be reopened within 30 days by replying to the closure-confirmation email.
After 30 days, closure becomes permanent (data still retained per the retention policy below).
How to delete
The full deletion flow:
- Close the account (above).
- After 30 days, the account moves to deletion.
- Personal data is deleted from active systems.
- Records required for tax and audit (order history, invoices, refund decisions) are anonymised: name, email, and personal addresses are scrubbed; order line items, totals, and dates are retained against an opaque ID.
- You receive a confirmation email at the original address (one final email).
You can also request immediate deletion by emailing privacy@normamade.com with a confirmation from the account email. We action within 5 working days.
What we retain
UK tax law requires us to keep records of every transaction for 6 years from the end of the relevant tax year. The retained records include:
- Invoice line items and totals. Required by HMRC.
- VAT records. Required by HMRC.
- Refund decisions. Required for dispute resolution.
After deletion, these records carry no personal identifier. They cannot be tied back to you.
Workspace edge cases
Closing a personal account is straightforward when you are a member of zero workspaces. Edge cases:
- You are a workspace owner. You cannot close the account until ownership transfers. Go to "Workspace settings > Members" and promote another member to owner first.
- You are the only member of a workspace. Close the workspace first from "Workspace settings"; then close the account.
- You are a member of a workspace with outstanding Net 30 invoices. The workspace retains the invoices; your role on them is anonymised to "former member". You can close your personal account.
Marketing list
Closure removes you from the marketing list. Marketing list deletion is immediate.
Backups
We rotate backups every 30 days. Personal data persists in encrypted backups for up to 30 days after deletion from active systems. We do not access backups for routine queries; we restore only for disaster recovery. Backups are encrypted at rest and access-logged.
Reversibility
- Within 30 days of closure: reopen via the closure email.
- After 30 days: a closed account cannot be reopened. Sign up again with the same email; we treat it as a fresh account.
- After deletion: cannot be reopened. Anonymised records remain in our systems but cannot be linked back.
